Kilo is designed to be used by your entire go-to-market team, not just the person who set it up. The Team management page lets you invite sales reps, marketing colleagues, and leadership so everyone can access conversations, review lead briefs, and stay aligned on what's working.
To manage your team, go to Account > Team in your dashboard.
Adding someone to your Kilo account takes about 30 seconds:
Go to Account > Team.
Click "Invite member."
Enter their work email address.
Choose their role (see below for role descriptions).
Click "Send invitation."
That's it. If the person already has a Kilo account (maybe they used it at a previous company), they're added to your team immediately. If they don't have an account yet, they'll receive an email invitation to create one. Pending invitations show as "Invited" in your team list until the person accepts.
Each team member gets one of three roles. Choose based on what they need to do:
Admin — full access to everything. Admins can change agent settings, update the knowledge base, adjust scoring thresholds, manage the widget, invite other team members, and view all conversations. Give this role to marketing ops, RevOps, or anyone who needs to configure Kilo.
Member — can view all conversations, read transcripts, export data, and access reports, but cannot change settings or invite others. This is the right role for sales reps and SDRs who need to review leads and read conversation transcripts before calls.
Viewer — read-only access. Viewers can see conversations and reports but cannot export, archive, or change anything. Good for leadership who want visibility into what Kilo is doing without the risk of accidentally changing something.
Tip: Start by making yourself and one other person Admin (for backup), then invite your sales team as Members. If your VP of Sales or CMO wants a dashboard to check periodically, add them as Viewers.
The person who created the Kilo account is automatically the Owner. The Owner has all Admin permissions plus exclusive access to:
Billing — managing your subscription, purchasing top-ups, and updating payment methods
Team management — inviting and removing members, changing roles
Account deletion — if you ever need to close the account
The Owner role cannot be transferred, so make sure the right person creates the account (typically the marketing or sales ops lead, not an intern or contractor).
As your team changes, you can manage access from the same Team page:
Remove a member — if someone leaves the company or no longer needs access, remove them from the Team page. Their access is revoked immediately.
Change a role — if an SDR gets promoted to a management role and needs Admin access, you can update their role without removing and re-inviting them.
"Is there a limit to how many team members I can add?" No. All plans support unlimited team members. Invite your entire sales team, marketing team, and leadership.
"Can team members see billing information?" Only the Owner can see and manage billing. Admins, Members, and Viewers cannot access payment details, invoices, or subscription settings.
"What if I want different teams to see different sites?" Currently, all team members have access to all sites on your account. If you need site-level access controls (e.g., one team sees Site A and another sees Site B), this is on our roadmap. For now, the simplest workaround is to use separate Kilo accounts for truly separate teams.
"Can I invite people from outside my company?" Yes. There are no domain restrictions on invitations. You can invite agency partners, consultants, or fractional team members with whatever role makes sense for their involvement.
